What data does your trolley fleet actually hold, and why does it matter?

Ask most retailers how many trolleys they have in service right now. Not on the books. In service. You will usually get an estimate. Ask when each was last inspected, how hard it is being worked, or how close it is to the end of its useful life, and the answer is silence. Not because the information doesn’t exist, but because nobody has been able to read it.


Every trolley in your fleet is already keeping a record. It has an age. It has been used a certain number of times, in a certain way. It has been serviced, or it hasn’t. It spends more of its life in some parts of the store, and the car park, than others. It is either earning its place or costing you money to keep. All of that is fleet data. For most retailers, none of it is captured, so every decision about the fleet gets made on a guess.



The record your trolley fleet is already keeping

Strip it back and a managed trolley fleet holds five things worth knowing.


Age. Not the average age of the fleet, but of each unit. A trolley bought in 2019 and one

bought last quarter are not the same asset, even if they look identical in the bay.


Utilisation. How often each trolley is used, and how heavily. Fleets are rarely worked evenly.

Some units are out constantly. Others sit for weeks. Without the numbers, you cannot tell

which is which.


Service history. When a trolley was last inspected, what was found, and what was replaced.

In most stores this lives on a paper form nobody reads, or nowhere at all.


Condition and lifecycle stage. Whether a trolley is fit for service, due for maintenance, or past

the point where repair makes sense.


Return behaviour. Where trolleys go, how long they are gone, and how reliably they come

back. All without tracking a single customer to get it.


Individually, none of these is dramatic. Together, they are the difference between running a

fleet and hoping one runs itself.


Why missing fleet data costs more than it looks

The cost of not holding this data never shows up as a line on the P&L, which is exactly why it

goes unmanaged.


Take replacement. With no age or condition data, replacement is reactive. You buy trolleys

once enough have visibly failed or gone missing to force the decision. That is the most

expensive way to do it. At £150 to £400 per trolley, ordering in a rush before the Golden


Quarter, rather than planning a phased replacement across the year, quietly inflates the cost

of the same fleet. Planned properly, that is a conversation with your shopping trolley supplier,

not a scramble.


Then there is loss. Around a million trolleys go missing from UK stores every year, at an

estimated £35 million to British business. One Asda store in Bromsgrove lost 320 trolleys in a

single year, roughly £32,000 from one site. Fleet data will not stop a trolley leaving the

supermarket car park. What it does is turn an invisible write-off into a number you can see,

locate against and act on, instead of one you absorb and re-order around every year.


And maintenance. Without service history, upkeep is reactive too. You fix the trolley that

breaks, not the one about to. Reactive maintenance is slower, more disruptive and shortens

the life of the asset you paid for.


No single one of these costs is large. All of them repeat, every year, on a fleet you already own.


Why procurement now asks about fleet data

Three years ago, asset tracking and lifecycle data were nice-to-haves in a trolley order. In

2026 they are increasingly written into the brief. The reason is simple. Retailers are being

asked to cut operational cost without cutting service, and a trolley fleet is one of the few

sizeable assets in the estate still managed on guesswork. Visibility is the cheapest efficiency

available, because it does not mean buying anything new. It means knowing what you

already have.
